About this Opportunity

The Heather Cutler Foundation is a volunteer-led national nonprofit focused on improving pancreatic cancer policy and care across Canada. We are seeking a reliable, detail-oriented Administrative Assistant to support internal coordination and communications.

This remote volunteer role helps ensure that meetings, outreach, and projects run smoothly. It’s ideal for someone who is organized, responsive, and able to manage administrative tasks independently with professionalism.

Key Responsibilities:

– Schedule internal and external meetings using Proton Calendar and Zoom

– Prepare meeting materials, including agendas, briefings, and background documents for calls with organizations, policymakers, and community members

– Record and organize meeting notes, action items, and follow-ups

– Maintain file and task organization (Proton Drive, Box, Monday.com)

– Support internal inbox and workflow management

– Assist with donor and fundraising coordination tasks (e.g. preparing reports, organizing donation records, tracking communications, supporting campaign logistics)

– Help coordinate newsletter mailings and basic communications workflows

– Provide administrative support across grants, outreach, and volunteer engagement

What We’re Looking For:

– Strong organizational and written communication skills

– Quick to respond and comfortable with time-sensitive requests

– Professional, courteous, and dependable in both tone and follow-through

– Familiar with or open to learning Monday.com, ProtonMail, Box, and Zoom

– Comfortable adapting to new systems or priorities as needed

– Prior administrative or coordination experience is helpful, but not required

– Able to commit 3–5 hours per week on a flexible but consistent schedule

What to Expect:

You’ll support a small, active team working across Canada on public engagement, advocacy, and systems change. Volunteers are provided with onboarding and training, and your work will directly support the coordination of campaigns, partnerships, and internal operations.

The Heather Cutler Foundation is an LGBTQ2IA+ nonprofit. We welcome volunteers from all regions and backgrounds and are committed to respectful, transparent collaboration across our team.

Applicants must be in Canada to be eligible for this role.
