About this Opportunity
Position Overview: The Office Coordinator plays a vital role in ensuring the smooth and efficient operation of our office environment. This position involves providing administrative support, managing office logistics, and assisting with various tasks to facilitate the day-to-day functioning of our organization.
Key Responsibilities:
- Greet visitors, answer phone calls, and respond to inquiries in a professional and courteous manner.
- Manage office supplies inventory, order supplies as needed, and maintain organized storage areas.
- Coordinate meetings, appointments, and conference room bookings, including scheduling, setup, and communication with participants.
- Assist with administrative tasks such as filing, scanning, data entry, and document preparation.
- Handle incoming and outgoing mail, packages, and deliveries, including sorting, distributing, and processing as necessary.
- Maintain office cleanliness and organization, including tidying communal areas, managing recycling and waste disposal, and coordinating cleaning services.
- Assist with facilities management tasks, such as coordinating repairs and maintenance, liaising with building management, and ensuring compliance with safety and security protocols.
- Support HR-related activities, including onboarding new employees, maintaining employee records, and coordinating employee events or activities.
- Assist with special projects and other duties as assigned by the Executive Director.
Qualifications:
- High school diploma or equivalent; additional education or training in office administration or related field preferred.
- Proven experience (1-3 years) in an administrative support role or office environment.
- Excellent organizational skills and attention to detail, with the ability to prioritize tasks, manage time effectively, and meet deadlines.
- Strong communication skills, both verbal and written, with the ability to interact professionally with staff, visitors, and external contacts.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other office software applications.
- Ability to work independently with minimal supervision, as well as collaboratively as part of a team.
- Positive attitude, proactive approach, and willingness to take on new challenges and responsibilities.
- Discretion and professionalism when handling confidential information and sensitive matters.
- Flexibility to adapt to changing priorities and multitask in a fast-paced environment.
